The Data Analytics team at Systemwide Procurement (SWP) played a key role in a UC-wide modernization effort led by UCOP Information Technology Services (ITS) in migrating SWP SQL servers and Tableau environments from the San Diego Supercomputer Center to Amazon Web Services (AWS). Between July 2024 and January 2025, this project successfully transitioned 383 servers to the cloud to increase security, reduce costs, and ensure more reliable services across the UC system.
Complex Platform Migrations
For Systemwide Procurement, the Data Analytics team successfully migrated three SQL environments (DEV, QA, PROD) and two Tableau environments (UAT, PROD). These platforms power UC Procurement Dashboards and are the backbone for monthly spend analytics, which provide strategic sourcing insights across all campuses.
Overcoming Challenges
Despite the scale and complexity of this project, the Data Analytics team overcame multiple challenges:
- Redevelopment of SQL jobs and SSIS packages during server upgrades
- Addressing compatibility issues with Business Impact (BI) tools
- Tackling large-scale file decompression and network bottlenecks
- Reconfiguring security layers with new certificates and VPN access
Through parallel builds, rigorous testing, and close collaboration with ITS, the team achieved a seamless transition — with zero downtime for procurement’s critical processes.
Business Impact
The results of the migration are already clear:
- 50% faster data loads: Monthly spend data now processes in under four hours instead of eight.
- Improved reliability: Data is available on time, every time.
- Stronger security: Enhanced AWS and UCOP VPN protections safeguard sensitive information.

Looking Ahead
This was more than a technology upgrade. By moving to AWS, the Data Analytics team has laid the foundation for faster insights, stronger security, and more agile reporting. UC stakeholders can now access data-driven insights more quickly than ever, empowering better decision making systemwide.
