The Systemwide Procurement CalUsource and Strategic Sourcing teams partnered to create a source-to-contract dashboard. The goal of this collaboration is to display an easy-to-digest graphical representation of each Category team's sourcing events and contracts in CalUsource. Information can be further refined through interactively filtering by procurement professional.
The CalUsource dashboard was piloted by the Professional Services and Facilities, Maintenance, & Capital Programs teams, and provides insight into:
- Aggregate of all live contracts under the team’s management
- Current pipeline of sourcing events
- Contracts expiring in the next quarter
- Contracts containing key compliance-related appendices (BAAs and DS Appendix)
Benefits include:
- Easier workload management to ensure resources are spread evenly throughout the team
- Visual representation of all live contracts managed by a commodity team
- Current sourcing pipeline visualization to support sourcing project management at each phase in the process
- Proactive contract management and tracking of upcoming expiry dates
- Easier incentive tracking and management
- Ability to ensure contracts contain appropriate appendices for Data Security and HIPAA (BAAs)
Managing and balancing multiple contracts within a large portfolio and pipeline often means challenges in seeing the overall picture. These CalUsource dashboards provide a birds-eye-view to help us balance resources and communicate value and timelines graphically to stakeholders.
