Following our very successful FY24, UC Procurement has established an FY25 Benefit target of $385.8M, which equals our Strategic Plan target goal of 4% of Addressable Spend. As we continue to focus on value-oriented procurement, all UC locations worked together in a collective effort to set this goal.
During the pandemic years our Benefit/Spend ratio decreased year-over-year as UC Procurement focused on avoiding supply chain disruptions.
In FY23-24 UC Procurement launched an improved process to set Benefit goals, using a combined ground-up and a top-down approach. Using this method, we reversed the declining trend via great collaboration across locations and teams. The adopted FY24 target was $296M, and we blew past that to achieve $363.7M, or 3.9% of Addressable Spend in FY24.
This year, we leveraged what we learned from the FY24 process and adjusted our timeline to earlier in the year, starting in April and running through October. Campus and Systemwide strategic sourcing groups again worked collaboratively with leadership to set our FY25 UC benefit goal of $386.8M, or 4% of Addressable Spend.
Setting Benefit targets provides Campus and Systemwide Strategic Sourcing teams with clear direction for the upcoming fiscal year. These targets establish benchmarks against which progress can be measured. Regular evaluation allows leadership to make necessary adjustments and course corrections throughout the year. The target setting process also encourages UC campuses and strategic sourcing teams to share projects and learnings and allows for a methodical process to set goals, using the ground-up/top-down approach.
Strategic sourcing teams use various tools to record and track progress on these goals. Our Systemwide Procurement Dashboards are the source of truth for spend, targets and achievement towards overall targets, small and diverse spend targets, as well as total volume of purchase orders, invoices and suppliers.
Benefit Bank is the tool used to input all Benefits earned. It displays totals by campus or strategic sourcing team for the prior year, and current year totals in real-time, pending audit approval.
The CalUsource sourcing platform is our data repository of record. Sourcing teams use CalUsource to build sourcing projects, conduct RFPs, create and store contracts, track sourcing project milestones, do spend analysis, and provide custom sourcing reports.
